Position Summary

The Executive Secretary performs confidential administrative and secretarial duties for DU-COMM Department Heads.

Essential Job Functions

The primary responsibility of the Executive Secretary is to perform clerical-based work and assist in maintaining agency records. Essential functions include, but not limited to prepare meeting agendas, packets, and minutes for distribution; proof, format, and publish agency policies; prepare agency rooms for meetings; process Freedom of Information (FOIA) requests and internal records requests; photocopy projects; and paperwork/records compliance.

Additionally, a successful candidate must be able to communicate professionally via phone and email with DU-COMM staff and member agencies.

Qualifications

• Applicants must be able to pass the applicant testing, full police background investigation, psychological exam and drug/hearing/vision screenings
• Must be at least 18 years of age.
• Typing speed of 35 words per minute.
• Must possess a valid driver’s license.

Education/Experience Required

• Two (2) years of experience in office management, executive secretarial duties, including proofreading documents for spelling, grammar, and punctuation.
• A high school diploma or equivalent is required.
• Must be of strong moral and ethical character.
• Strong analytical and logical problem-solving skills.
• Proficient in the English language including the proper usage, spelling, punctuation, and grammar.
• Strong interpersonal skills include the ability to work one-on-one, in a group environment, and public speaking.
• Applicants must be proficient in Microsoft Office, including: Word, Outlook, Excel, and PowerPoint



Beneficial Qualifications:
• Post secondary degree in business, finance, or related field.
• Two (2) years of experience as an Executive Secretary with some finance responsibilities.
• Previous experience in a municipal or public safety environment.
• Advanced Microsoft Word and Excel spreadsheet skills.
• Public meetings (including the Illinois Open Meetings Act and Roberts Rules of Order).
• Foreign language skills in Spanish or other desired languages.
• Computer/data entry experience.

Physical Requirements

Works in office environment. Little physical strength and/or endurance required. Position is physically comfortable. Occasionally, job may require physical exertion such as lifting, stooping, reaching, walking, etc.
